Policy 4.1

One important characteristic of a good employee is good attendance which includes punctuality and consistency. It is the goal of KTC to instill in students the characteristics of a good employee. KTC students are expected to attend on any day KTC classes are in session. If any student is absent, it is the student’s responsibility to contact the instructor on the day of the absence.

Adult Students:

Unless otherwise stated (i.e. Practical Nursing Student Handbook, EMS/Paramedic Student Handbook) this policy will apply to all adult students.

KTC adult students are expected to attend 90% of their scheduled hours in any one semester (up to 10% absence of enrolled hours in any one semester is considered excused). If a student exceeds the 10% of excused absences for the semester, the student’s enrollment will be terminated.

KTC adult students are expected to attend on any day KTC classes are in session. Adult students are expected to attend whether or not high school students are scheduled to be in class.

Students arriving up to 39 minutes late or leaving up to 39 minutes early will be considered tardy. Three (3) tardies will equal three (3) hours of absence.

Students are responsible for completing any work missed due to absences. A student who has been absent for five (5) consecutive school days without proper notice and approval will be terminated from KTC. 

Adult Student Leave of Absence:

Adult students, including Veteran’s Administration (VA) students on military leave other than active duty, may request a leave of absence for circumstances beyond their control, not to exceed 180 calendar days in a fiscal year. A leave of absence must be at least three (3) consecutive days. No more than one (1) request for leave of absence may be granted in a fiscal year. Requests for leave of absence will be reviewed and considered on a case-by-case basis.

All leave of absences must be requested in writing to the campus director/financial aid staff member with appropriate documentation and reason for the request. Requests should be made in advance. In the case of an emergency request, the school must be notified of request within 72 hours. For emergencies, the school will initiate the request for leave of absence and the student will sign the request upon return. Request must include the first date of absence and the date of return. No fees or additional charges will be assessed during the period of approved leave of absence.

VA student benefits will be terminated and the school will report the interruption in the program to the VA. Benefit usage may be reinstated upon return to the program if entitlement remains. 

VA beneficiaries who are called to active duty service are covered under the Uniformed Services Employment and Reemployment Rights Act of 1994 (USERRA).

Upon return from leave of absence, students may resume training at an equivalent level as immediately preceding their leave of absence.

Leave of absences, when approved, will be signed by the campus director or assistant director, the student’s instructor, the student, and the campus financial aid staff member. A copy will be submitted to the Financial Aid Coordinator, 1004 Highway 2 North, Wilburton, OK 74578.

High School Students:

KTC high school students are required to attend 90% of their scheduled hours in any one semester (up to 10% absence of enrolled hours in any one semester is considered excused).

Students should bring documentation of the reason for their absence to the campus registrar upon return to class. Documentation examples: Doctor/dentist notes, court/lawyer documents, funeral program, counseling schedule, approved partner high school activities and any other absence deemed acceptable by the campus director, assistant campus director, and/or local campus attendance committee.

High school students participating in verified/approved activities at their home high school will not be counted absent if proper documentation is received for the absence. The student is responsible for providing the proper documentation to the KTC registrar prior to the date of the activity or upon return to school. If at the end of the grading (attendance) period, documentation has not been submitted it will be recorded as an absence.

Students arriving up to 39 minutes late or leaving up to 39 minutes early will be considered tardy. Three tardies equal one absence.

Students are responsible for completing any work missed due to absences.

High school students exceeding 10% of excused absences during a semester, will receive no credit (NC), will be suspended, and/or enrollment terminated.

High school students may request one (1) period of emergency leave if they will be unable to attend class for at least three (3) consecutive school days (up to a maximum of 10% of enrolled hours in any one semester) due to a documented emergency. The student must submit a request for emergency leave to the campus director or assistant campus director in advance or within 24 hours. The request must be approved. Students must have parental/guardian approval to obtain emergency leave. Documentation is required. The student is expected to give the documentation to the KTC registrar at the time the student returns to KTC.

KTC Attendance Appeal Process:

For all KTC Students (Unless otherwise stated in the Practical Nursing Student Handbook or the EMS/Paramedic Student Handbook) 

If KTC terminates the enrollment of a student based on excessive absences and/or issues a no credit (NC), the student may appeal to the campus director. This appeal letter must be in writing and should be submitted to the campus director within 72 hours of notification of termination. The appeal letter must explain why the student has excessive absences and what the student will do to improve attendance if reinstated.

If the student is reinstated to the program, he/she will be placed on attendance probation for the remainder of the semester. If the student is absent, tardy, or leaves early for any reason after being reinstated, his/her enrollment will be terminated without a second opportunity for appeal.
